This room can support video conferencing using the in-room computer or a laptop. There is a mounted camera to capture the room and any of the three mic options (handheld, lapel, and catch box) can feed into an online meeting. If using your own device, you must connect USB-C or HDMI, and USB-A cables to have both audio and visual feeds.
Use In-Room Computer
- Touch the Crestron control panel and set source as In-room computer.
- Press any key or move the mouse to wake up the podium PC.
- Log in to the computer using your Queen’s NetID (e.g., TMJ43@queensu.ca)
- What’s on the computer screen will display on the projector screen.
- To use extended display and treat the computer screen and projector screen as one large canvas type “Windows Key + P” on the keyboard.
- Video Conferencing: The room’s microphones and camera are connected to the in-room computer for Teams or Zoom use. You may be required to login to either application if using.
- If you brought your slides or other content on your own USB stick, you can connect it to the in-room computer via the extender cable.
- Remember to log out of the computer when you are done to help keep your account secure.
Connect to Teams (using in-room computer)
- Open Teams.
- Log in as needed.
- Select meeting from schedule or enter meeting ID.
Connect to Zoom (using in-room computer)
- Open Zoom.
- Log in as needed.
- Select a meeting from the schedule, enter a meeting ID or use a Zoom link.
Connect Your Own Laptop
- Dongles to connect your laptop are stored on the on the podium desk to be used as needed.
- To have both audio and visual feeds, connect USB-C or HDMI AND USB-A cables.
- Touch the Crestron control panel and set source as either USB-C or HDMI.
- After connecting your laptop, you may need to adjust the audio output, microphone or camera feeds to use the room’s AV equipment (additional details below). The relevant names are:
- Audio Output: Echo Cancelling Speakerphone (Q-SYS Core 110F)
- Microphone: Echo Cancelling Speakerphone (Q-SYS Core 110F)
- Camera: USB Capture HDMI
Microphones
- This room includes 3 microphones:
- Handheld microphone
- Lapel microphone (clip on)
- Audience throwable microphone or catch box microphone (padded)
Camera
- There is a camera at the back of the room pointing at the podium which is used for video conferencing.
- You can adjust the camera using the “Camera” icon on the Crestron Touch Control Panel.
Audio Volume
- Volume control for the room’s speakers is available on the Crestron control panel.
- Find the volume control between "Lighting Control" and "Projector Power Control" at the bottom of the Crestron screen.
Lighting
- Lights in the room are controlled with buttons on the wall. There is a control by the door and one behind the podium.
Trouble Shooting
No image is displaying on the projector.
- Confirm you have the correct source selected on the Crestron control panel.
- If using your own laptop:
- Disconnect and reconnect your device.
- Check that your device is using duplicate or extend mode.
- Restart the entire AV system by turning it off and then back on (from the Creston control panel).
No audio from computer or laptop is heard in the room.
- Check that Echo Cancelling Speakerphone (Q-SYS Core 110F) is selected as the audio output setting in a meeting or on a device.
- If using your own device, unplug and reconnect the cables (including USB-A).
- Restart the AV system using the Crestron control panel.
- If using your own device, restart it.
Microphones aren’t working.
- Make sure there is a green light on the microphone.
- Double check the microphone isn’t muted (there is a switch on the side).
- If using your own laptop, make sure the USB-A cable is plugged in.
- Check the audio input settings in your meeting or on your device.
No image from the room is showing up in a Teams or Zoom meeting.
- Make sure USB Capture HDMI is selected in either Teams or Zoom.
- Contact QHS IT as the camera can periodically be turned off by accident.
Adjusting Audio Output (Speakers)
Windows
Click on the “Volume/Sound” icon in the Windows taskbar.
Click on the icon next to the volume slider.
Under “Output device” select: Echo Cancelling Speakerphone (Q-SYS Core 110F)
macOS
Open macOS System Settings
Look for “Sounds”
Under the “Output” tab, select: Echo Cancelling Speakerphone (Q-SYS Core 110F)
Zoom
Open Zoom
Open Zoom Settings
Go to “Audio” tab, located on the left of the settings screen
Change the “Speaker” to: Echo Cancelling Speakerphone (Q-SYS Core 110F)
Teams
